So let’s start by doing a quick health check on your website to see how people are currently finding you. There are a couple of simple enough ways to get under the hood of your site, I would recommend using Google Analytics (click here for a previous blog on Analytics) or Google webmaster tools. You can access these by simply setting up a free Google account (if you haven’t already got one) and simply searching for them. You will need access to the control panel of your website to install a simple code into your website as a security feature. It’s quite simple but if that is something you are not comfortable doing, just ask who ever looks after your site to install the code.

Analyse your website

If you can’t access either of these a simple way to get some information on your website is to got through Alexa. Here you can get a quick overview of where your website ranks. It also gives you the chance to see keyword queries that bring a high percentage of traffic to a particular URL. So when here, check your own site and then perhaps a competitor who is doing well.

Once you get the site up, you can go through and click onto search analytics to see the top search queries which are driving traffic to your competitor’s website. Compare it with your own.  Is your competitor generating more traffic through search terms? Are the search terms they rank highly in ones which you wish to gain traffic through? If so, they are probably working more effectively on SEO than your own site. Most letting agents are looking at finding landlords through their website SEO.

How to use your website as a visitor

Search the term that you think a new landlord would search to find a property manager or letting agent in your area, then see who ranks the highest. Now visit their site on Alexa to find out more about them. Learn from their website and implement changes needed to move your website up the search ranking.

Another interesting statistic to find out is how many back links your competitor has. The more back links a site has, the more attractive the website is for search engines to return that site on the first page of a search result (or SERP). A back link is your website’s URL on another website. Below is how a back link looks:

This is a question I ask letting agents regularly, and it seems that winning new instructions is one of the biggest letting industry challenges out there at the moment. With rental properties being in such high demand there has never been a better time to rent property. With the average tenancy term increased and more people renting – it’s simply supply and demand. So what can letting agents do to increase their rental listings?

The internet is the majority of letting agents’ biggest shop window and a lot of the time it is better than any shop window on the high street. The problem is that many agents neglect their own website thinking that just because it is live it will get them new listings from landlords. However, the internet is a very busy high street and if you’re not managing your website correctly the competition is going to attract the lion’s share.

I mean, you would not open a letting agency and not place a sign over the door or advertise the fact that you are a letting agency, would you? I would not have thought so, but this is what some agencies are doing on the internet. So how can you find out how easy you are to find on the internet for potential landlords, and tenants for that matter? Today we are going to look at 3 free tools on the web available to letting agents throughout the world online to market their services on. The digital age is in full swing, and the way people communicate and digest information is completely different to those of the same age five years ago.

So my top 3 tools for Letting Agency Marketing are:

#1 Vimeo or YouTube Video blogs 

Ever started reading something and then realised it’s so long that by the time you have gotten to the end you forgot what the hell it was about? Well in my opinion, long-winded product or service descriptions are becoming more and more outdated and people want to be shown or told visually rather than textually. So take the first step and start recording some videos to release to your landlords and tenants. We prefer to use the vimeo service due to the quality of the video.

#2 Pinterest Picture Sharing

As I mentioned before, the days of everything being described or sold in text are long gone.  Images rule nowadays. Why not get creative with some original imagery to go along with your marketing messages? We do it a lot on our Facebook page and it is a nice break from the usual content people would expect. We are slowly building our Pinterest page with a wide range of photos from the team out on the field, business events, funny viral images and more. Check the page out here.

#3 Facebook and Twitter Pages

I am presuming that many letting agents and estate agents will have already got this far with their marketing, but many do it wrong or see now value in using social media  Facebook   and Twitter for business. Social media is important these days, whether you like it or not.

Have realistic expectations, though. I don’t follow an agency to find out every single listing they have available, likewise I don’t like a Facebook page to constantly hear what’s on offer from the agency. Use it as a customer development tool and start running some competitions or posting some interesting and funny relevant content to get a buzz going about your agency.

Strategic Alignment for a Letting Agency

Strategic alignment refers to the closeness of the relationship between company CEO’s or senior management and Information systems managers, or those workers heavily involved with the use of technology and software in the work place. Aligning the information system’s purpose and direction with the overall direction of the firm is a vital for long-term success.

The purpose of this blog is to help agencies and other companies alike to understand the process of aligning the needs of the organisation. After a year of learning about the role of information systems in organisations today, one thing was clear to me in my studies; it’s all about the planning.

Opportunities come and go fast, so it is important for all management to sit down and plan the role of information systems in the organisation. There are some key PEOPLE that an organisation needs to look at first; general managers, functional managers and the end-user are all important when making a decision on the use of information systems. For example, if you are debating whether to purchase property management software for your agency, it’s important to discuss the potential use of the software with your functional staff members and the end-user who is your customer, be it landlord or tenant.

To help align the information systems goals with business goals there are a few key questions that a general manager and firm can ask themselves. Gabriel Piccolli, the author of Information systems for Managers, Texts and Cases brings us the five key questions.

1-How much should we spend on IT?

A simple question that forces senior execs to discuss and decide what they are willing to spend on the role of information systems in the organisation, it helps if the agency know their budget before they go to the market looking for a property management solution.

2-Which business process should receive the €€€?

Which business processes are important to the firm that need some IT investment? I would assume activities such as website maintenance and management of customers would place highly here. Again it’s good to establish these things before making your investment.

3-How good do our IT services really need to be?

This question forces senior execs to make a conscious decision about the degree of service the firm needs and what they are willing to pay for. A smaller agency may only require a simple and low complex software system for certain business activities while the multi branch agencies may require a bigger and more comprehensive system.

4-What security and privacy risks will we accept?

Obviously this is something an organisation needs to discuss before investing in an information system and it is a hot topic at the moment with Google who I like to call ‘the ruler of the internet’ catching some negative PR for their new policies on the storage of customer data. For agencies looking to acquire software and align its use with business goals, you must ensure your data will be safe and retrievable when purchasing a system. Most software providers will state weather data can be obtained at the end of use.

5-Who do we blame if it all goes wrong?

Execs must clearly identify and assign responsibility for the information systems in the firm. This is helpful in assessing problems with the use of the software, such as the system not meeting expectations of the general managers. To put this into context, if you were to purchase a Rentview package for your agency you may assign work to your functional and general staff. Rental property – Fake landlord scam

Following on from the cheque cashing scam its important to remember that not only the agent / landlord who is the potential target in property rental scams. Through out my career within the lettings industry I have spoken to numerous tenants who have experienced such a scam. The fake landlord scam is where tenants hand over a deposit and possible rent upfront to a fake landlord. This scam normally happens as follows.

A home hunter responds to an ad normally on a free advertising website but could also be on a property portal, local paper etc. The home hunter arrives to view the property which is priced below the norm in a well sought after area. The tenant very much interested and in assuming they are getting a bargain is convinced to hand over a deposit. So what is wrong here you ask? Well this landlord is doing this to every set of tenant who has called to view the place. The landlord could do this for the whole day in 30 minute intervals or even a couple of days. The first time anyone is made suspicious is when the phone number the tenant contacted the landlord on is no longer reachable. Here is the story of a particular case in Dublin of such incidence.

In some cases the brazen fake landlord will also arrange to meet, sign a lease, hand over keys and collect the rent in advance perhaps in a hotel lobby or coffee shop. When the home hunter arrives with lease and key in hand at the dream property the key does not work. There might even be a queue of new tenants looking to see if their key works. Here is such a case where once again the con man was caught

So as you can see just because someone has possession of a property it does not mean they are the owner or acting on the owners behalf. It is ever so important to know who you are handing the deposit over to. Bank draft & cheques are always the best way to give a deposit as they are traceable. Under some genuine circumstances a property may require something to hold it for a night. Perhaps until you can get a draft and if you are placing a cash deposit it should be only a token amount to show you are serious. I would say nothing more than €50, this should be  ok for one evening. Most if not all professional agents and landlords will be fine with this and if they are not it might be better to walk away.

The above incidents happen to a very, very, very small percentage of rental properties. But it can happen and it is always better to be safe then sorry.
